160over90 is seeking an Assistant who will be responsible for providing support to the, Executive Vice President, Accounts & Partnerships. The ideal candidate will exercise discretion and independent judgment, as well as the ability to interface and work with executive and senior level business leaders and their teams. The candidate will have the ability to effectively manage scheduling of calls, meetings and a high volume workload.

 

Key Roles & Responsibilities:

  • Own and manage all scheduling-related matters for the Executive Vice President, Partnerships including calendar coordination, meeting logistics, and prioritization of time-sensitive requests.
  • Support travel planning and execution, including booking, itinerary creation, and any on-the-ground logistics.
  • Assist with expense management, including timely submission and reconciliation of reports.
  • Coordinate office logistics such as booking conference rooms, arranging visitor access/security, and setting up A/V and catering for meetings.
  • Assist with client follow-up, including notetaking during meetings and drafting follow-up communications for both internal and external calls where necessary.
  • Provide general administrative support including email and phone coverage as well as ad-hoc tasks as needed.
  • Contribute to research and preparation of meeting materials when appropriate.
  • Foster positive relationships internally and externally, working seamlessly with assistants, departments, and agency partners/clients.

 

Qualifications:

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent organizational and time management skills with the ability to multitask and meet deadlines.
  • High attention to detail and a proactive mindset.
  • Strong communication skills, both written and verbal.
  • Ability to work with all levels of management.
  • Ability to handle multiple assignments and deadlines with accuracy.
  • Experience with travel coordination and expense systems preferred.
  • A collaborative spirit and solutions-oriented approach.
  • Interest in entertainment, brand partnerships, or experiential marketing is a plus.

 

Per local requirements and in the interest of transparency, the rate shown below reflects the prevalent current hiring range for this position. Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. The company strives to provide locally competitive rewards packages, which include base rate along with, as applicable, short- and long-term incentives, growth and developmental opportunities, and robust benefits, such as health care, retirement, vacation and other paid time off, and additional offerings.

 

Hiring Rate Minimum:

$21.75 hourly (minimum will not fall below the applicable state/local minimum wage thresholds)

 

Hiring Rate Maximum:

$29.00 hourly
