- SUMMARY DESCRIPTION
- An Assistant is responsible for performing a variety of administrative tasks to provide support to the agent in client and internal matters.
- ROLES AND RESPONSIBILITIES
- Manage inbound calls on behalf of the SVP-level agent
- Coordinate, schedule, and confirm meetings; maintain up-to-date calendars
- Book agent business travel as necessary
- Prepare and submit agent expense reports
- Maintain and routinely update contact lists and department documents
- Ensure IMDb is accurate and current with roster changes
- Prepare agendas and coordinate materials for weekly department meetings
- Assist in developing and maintaining one-sheets, pitch decks, and branding assets
- Take on additional tasks and responsibilities as assigned
- DEAL TRACKING
- Monitor and track brand deal flow and statuses
- Draft and review contracts related to brand engagements
- Generate invoices and track outstanding payments
- Collect and submit deliverable assets as required
- PITCHING
- Collaborate with the branding team to submit clients for branding briefs
- Stay informed on client activity and agency roster developments
- Track pitches and maintain consistent reporting
- QUALIFICATIONS
- Based in (or relocating to) Nashville, with a hybrid schedule that includes consistent in-office presence
- 1-2 years of professional and/or internship experience in the music industry strongly preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Drive
- Excellent verbal and written communication skills; confident interfacing with clients, executives, and brand stakeholders.
- Highly organized, detail-driven, and able to manage multiple tasks with urgency and accuracy
- Strong discretion, professionalism, and ability to handle confidential information
Base salary: $47,500 plus bonus potential if applicable for role.
Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees.
