About the Role
As the Senior Manager - Fleet & Bus Operations for On Location during the 2026 Milano Cortina Olympic Games, you will play a critical role in ensuring the seamless operation and optimal utilization of the vehicle fleet of vehicles across all Olympic clusters. Reporting to the Director Transport, you will :
- oversee the contract management of the various vendors,
- review and confirm the allocation, scheduling and dispatching of vehicles for stakeholders,custom groups, and commercial Overnight packages, and
- ensure comprehensive driver training and development programs are implemented to maintain the highest standards of service and safety.

Key Responsibilities
Fleet & Bus Management:
- Manage and oversee the entire vehicle fleet services across all Olympic clusters (Milano, Valtellina, Cortina / Anterselva, Val di Fiemme),
- Confirm of vehicles and vehicle type per cluster and adjust the fleet as needed within contractual obligations and limitations.
- Ensure the optimal use of vehicles for various groups, including stakeholders, custom groups, and commercial Overnight packages.
- Liaise with Stakeholders, = and Custom Group Program Management to allocation vehicles per Client program.
- Monitor vehicle availability to ensure smooth and efficient operations.
2.Driver Training and Safety:
- Liaise with Vehicle Vendors to develop and implement a comprehensive driver training program to ensure all drivers are proficient in safety protocols, customer service, and event-specific requirements.
- Develop and conduct training on Olympic driving regulations and restrictions and specific venue transport spaces (such as P7, P2, Load zones and other applicable transport area in and around venues)
- Ensure drivers are assigned per client and create consistency in the Clients fleet in Vehicles and Drivers.
- Ensure that drivers are prepared to handle, critical stakeholders, Custom Group Clients and high profile clients with professionalism and discretion.
3.Vendor Management:
- Manage daily relationships with vehicle suppliers and other applicable services providers across clusters.
- Monitor delivery and service-level agreements to ensure cost-effectiveness and quality of service.
- Set-up a reporting mechanism and process to ensure on-time delivery of transport services
- Monitor vendor performance and compliance with contractual obligations.
- Monitor Vehicle needs per cluster and increase or decrease vehicles where needed.
4.Stakeholder, Custom Group & Cross-Functional Collaboration:
- Collaborate closely with the Business Development and Commercial teams to allocate, schedule and disptach vehicles based on agreements, Stakeholder and Custom Groups needs, and commercial package requirements.
- Serve as the primary point of contact for Stakeholder/ Custom Groups inquiries and resolve issues promptly.
5.Financial and Resource Management:
- Manage the fleet and bus services budget, ensuring cost-effective use of resources
- Develop and implement strategies to minimize unnecessary vehicle use, reduce environmental impact, and maximize efficiency.
- Track expenditures and generate regular reports on fleet performance and costs.
6.Logistics and Planning:
- Develop a comprehensive fleet and bus services operations plan, including contingency plans for unforeseen circumstances.
- Coordinate vehicle allocations, route planning, and scheduling to ensure timely transportation services together with the cluster transport team
- Develop training and support materials for Stakeholders and Custom Groups operations to explain transport processes and provide support in case of issues
7.Reporting and Compliance:
- Ensure compliance with local transportation laws and Olympic Regulations in all clusters.
- Prepare detailed reports and analyses for senior management on fleet utilization, costs, and performance.
Qualifications and Experience Experience:
- Proven experience in management of fleet and bus operations, , transportation logistics in a large-scale Sport event environment, preferably The Olympic Games and/or winter environment.
- Strong experience managing transport vendors and multi-site operations.
- Experience in designing and conducting driver training programs.
- Familiarity with the geographical and logistical challenges of the Milano Cortina Olympic clusters is a plus.

- Proficiency in Excel to automate daily processes, change management and reporting
- Strong vendor contractmanagement abilities
- Exceptional communication and interpersonal skills, with the ability to work effectively with multiple and diverse teams whether internal or external.
